In organisation A, it is possible for the project managers to directly influence senior management to set out a business case for implementing a project management methodology, which would progress their own careers,whilst also having a positive impact on the organisation. The decision to implement a methodology was made within a very short timeframe in contrast with the longer timeframe required for the larger organisations (ie: Organisations B & C). This may be due to the smaller size of this organisation and the higher level of complexity that such a task entails in larger organisations.

In organisation B, project management is very haphazard and varied from project manager to project manager or project to project. They had a methodology in place that was developed internally and was used consistently across all projects.Organisation C is driven to a certain extent by demand from their customers to have a standard methodology in place, which may be due to the industry (technology services) that this organisation operates in. They are already certified for Capability Maturity Model Integration (CMMI) standard.

All three organizations are in a dilemma of selecting a project management methodology. You have been hired to advice the organizations on the choice of project management methodology. The selection could be either from the two most commonly known methodologies - the Project Management Body of Knowledge (PMBoK), developed by the Project Management Institute (PMI) or Projects IN Controlled Environments (PRINCE2) developed by the Office of Government Commerce in the UK or any other project management methodology that you think best suits their needs.

Questions:
i. Is implementing a project management methodology considered a management level activity Who should be involved
ii. Should the chosen project management methodology be implemented in its entirety Please support your decision with an implementation plan.
iii. What issues might you encounter when implementing the chosen project management methodology
iv. What should be done to address the difficulties faced in attempting to implement the methodology
v. What benefits do you attribute to the use of the chosen project management methodology.

Answer:

The innovation and creation is required in carrying out fruitful business operation for the successful completion of the project. The change in the technology can bring the change in the business activity performance (Langey, 2012). The survivability of the organization depends on the methods opted for managing the business activities and the mitigation schemes used for overcoming the risks associated with the project. There are three organizations which are different in their working curriculum want to adopt project management methodology.

The organization 1 is dealing with the financial services with the limited number of employees about to be 80. The regulatory framework is used by the organization for governing the policies of the business (Zuo, 2014). The organization 2 is dealing with the building society with the number of employees about to be 600. The existing working curriculum of the organization is based on Regulation authority-regulatory performance framework. The organization 3 is dealing with the technological services with the number of employees about to be 1200. The existing working curriculum of the organization is based on capability maturity model integration. The companies want to transform their working culture with the innovative practices of project management methodology

Description:

The organizations are looking forward for developing common framework of project management in relation with conceptual design and associated terminology (Vaughan, 2013). The agile methodology should be adopted by the organization to overcome the complexity of the project in completion the project activities within the allocated time.

Implementation Plan and methodologies for the organizations:

Organization 1:

The focus should be given on the external and internal factors which are responsible for demanding the change of working tactics (Khalil, 2015). They are categorised as change in the perception of the top management, availability of the financial resources, in-house capability of the experts, involvement of expert staff, changing the strategic context of the business, improving the quality of the product, and others. The working of the organization 1 can be improved with the deployment of ICT technologies within the working structure of the business. The internal and external factors are responsible for the deployment of the ICT technologies.

The internal factors are categorised as technological factors and organizational factors. The change in technology helps in managing the size, managerial structure and availability of the resources. The external factors are categorised as competitors, marketing strategies, and environmental factor. The financial services of the organization can be enhanced by developing the central database for performing financial transaction with accuracy (Guerin, 2012). It helps in broadening the regulatory compliance and security program of the organization. The electronic trading can be easily performed. The diagram in the appendix shows the framework of adopting ICT working structure for changing the working scenario of the organization 1.

 Organization 2:


There are five key domains which should be taken into consideration for the deployment of agile project methodologies which are classified as changes in the IT architecture, strategies deployed for IT infrastructure, changing need and requirement of the business and customers. Investment in implementing new IT tools and technologies, and setting of priority associated with the working process. The companies want to transform their working culture with the innovative practices of project management methodology.

 The organization 2 is dealing with building society which is different from project to project according to the requirement of the construction. It is a large organization consisting of 600 employees. Agile methodology works best in overcoming the problems of current working structure and enhances the delivery of the project within the specified time and costs (Bal, 2013).

The key areas of this methodology is development of iterative program, organization of the team, improving quality of the process integration, collecting feedback, efficient in performs unit testing, and make the project ready for change according to the changing requirement of the customers. Monitoring and controlling can be effectively done with the deployment of agile methodologies (Wuest, 2015). The implementation of the agile methodology in the working curriculum of the organization 2 includes the following to be taken into consideration:

  • The importance of the agile principles in the setting of the business activity plan (Mishra, 2011)
  • The desirable behaviour for the agile methodology
  • Funds required for the adoption of the agile methodology
  • The new business opportunities can be created with the deployment of it
  • Information required to be shared across the project
  • The technical guidelines which are provided by the agile methodology
  • The technical choices which are provided by the agile methodology
  • Collaboration between the team members
  • Strategic approach which can be used by the organization

Organization 3:

The changing in the business strategy helps developing Communication Bridge between top managers and the technical executives (Kujala, 2014). The integration of the technical choices helps in raising the satisfaction level of the customers and other associated stakeholders. The diagram in the appendix shows the implementation plan of the extreme programming in the working structure of the company. The extreme programming methodology is used by the organization 3 for handling the technical services efficiently by improving the quality of the software to handle the staff of 1200 employees. The satisfaction of the customers can be increased by deploying the checkpoints in proving best technical services. The system testing, coding, and unit testing should be employed in each phase of the project life cycle (Perkins, 2014).

There are three phases involved in the deployment of the project management methodologies which are categorised as deployment of the functional model in the iteration phases, designing and building of the iteration phase, and implementation phase. In the functional model of the iteration phase involves the designing of the time management, the particiapnts should take part in the project development meeting, the monitoring of the team should be done considerably, and the implementation plan for the deployment of iteration phase of functional model.

The designing and building iteration phase focuses on development of the time deliverables for the monitoring of the team. The implementation phase focuses on managing the system migration to the operational environment. The relevant parties should signoff the approval of the project methodology within the working curriculum of the organization. The performance of the project can be reviewed with the post implementation plan by changing working project methodologies.

Challenges in the implementation of the project management methodologies:

Organization 1:

The challenges involves in the implementation of the ICT technologies in the working structure of the organization 1 are categorised as inappropriate use of connection between participating units, inadequacy in the realization of the enterprise issues, inadequacy in the supply of the resources, no arrangement of training and development program, people are unwilling to change their traditional working structure, team members are not having expertise in IT. The project sustainability is the major challenge for developing new level of growth.

Organization 2:

The challenges which are associated with the application of agile methodologies in the organization 2 are that the quality of the software used cannot be ignored, the sprint module integration testing is not performed adequately in the working curriculum of the organization, the quality of the code helps the develop to cope up with the lagging deadlines, the disruption in the team management cannot be efficiently handled by traditional SDLC, and others.  

Organization 3:

The extreme programming does not provide the proper structure and the required documentation needed for the project (Zhang, 2015). The software design is not sufficient for deploying the activities correctly. The handling of the cultural challenges is the major problem in deployment of the extreme programming. The legacy code, use of testing private methods, practicing of the adoption order, use of testing guidelines, deployment of the unit test approach, management of the spare time, development of the metaphor architecture, deployment of the dependency management, and others are some the challenges which exist with the implementation of the extreme programming.

Identification of the difficulties and mitigation strategies used for implementation:

Organization 1:

The traditional approach of designing dependent on the requirement specification phase is used. The metaphors and standard should be followed for developing the code for the implementation of the ICT technologies in the working curriculum of the organization. Acceptance testing is carried for analysing the performance of the organization with the deployment of the ICT technology.

Organization 2:

The parallel iteration should be followed for knowing the change in requirement of the customers. The customer acceptance test should be performed to check the satisfaction level of the customers. The periodic arrangement of meeting with the customers helps in identifying the risks associated with the project. Monitoring and controlling can be effectively done with the deployment of agile methodologies

Organization 3:

The arrangement of meeting between customer and project manager helps in knowing the actual requirement. The critical path approach is used for mitigating the risks associated with the planning of implementing the extreme programming. The functionality can be added to resolve the risks associated with the project. The metaphor architecture should be deployed for ensuring the compatibility of the participants and the participating units. The integration of the codes helps in optimizing the efficiency of developing the project with minimum errors. The customer specification plan should be analysed to cope up with the integration testing used for implementing the extreme programming project methodology for enhancing the efficiency of the technical services provided by the organization.

Organization 1:

The financial services of the organization can be enhanced by developing the central database for performing financial transaction with accuracy (Hong, 2015). The efficiency of the digital marketing can be improved. The innovation paradigm helps in embracing the business planning. The global sales can be improved with the use of effective marketing strategies. The systematic management of the process can be efficiently managed with the use of ICT technologies. The complex problem of the organization can be efficiently managed with the use of ICT technologies.

Organization 2:

The implementation of the agile methodology in the working curriculum of the organization changes the complete scenario of the enterprise. The deployment of the agile project methodology helps in analysing the requirement of the customers to it full extent. The customers can place their requirement at any time. Their request is taken into consideration to change the working process accordingly. It customer requirement can be completely satisfied with the completion of the project. The requirement analysis phase focuses on the new risks associated with the project at the early stage of the project which helps in developing proactive risk mitigation action plan.

This methodology is the engineering centric approach which works in the direction to provide high quality technical services to the demanding customers. The great agility is provided to the project completion because it deploys the iterative lifecycle to accommodate the required changes in the working process of the project. The business environment can be changed according to the value proposition associated with the project. It helps in fulfilling the satisfaction level of the customers to its full extent. The high level requirement of the customer can be elaborates throughout the lifecycle of the project. The moral of the team workers can be improved by developing less error prone codes. The design can be converted to the reality with ease without any changes required. The resilient flow helps in developing the project without any interruption. The mentoring of the project can be easily done with the deployment of knowledge to facilitate the technical services provided to the customers. The efficiency of the work can be improved with the better coordination and control among the participating units of the project.

 The high level requirement of the customer can be elaborates throughout the lifecycle of the project. Agile methodology works best for the organization 2 in overcoming the problems of current working structure and enhances the delivery of the project within the specified time and costs. The extreme programming methodology is used by the organization 3 for handling the technical services efficiently by improving the quality of the software to handle the staff of 1200 employees.
